Arrival in Iberia and final delivery: preparing the operational handover

Connect each stage to its references and responsible party. Confirm decisions before approving work.

Separate milestones and their owners

Arrival in Iberia, applicable customs release, parcel preparation and final-operator acceptance are separate milestones. Identify the owner, location, reference and expected record for each one. A label does not prove physical handover, and an international arrival does not confirm that local distribution has started. Agree who keeps documents, prepares the handover and informs the next operator. For the agreed CTT Express product, the local timescale depends on its acceptance conditions; it does not describe the whole journey from China. Keep every estimate attached to its stage and mark outstanding confirmations.

Connect the manifest with handover observations

Prepare individual references, country, territory, postcode, recipient, weight and dimensions per parcel. Review duplicates, incomplete fields and grouped pieces before comparison with the observed list. Keep the date, batch and record owner. Separate matches, expected references not observed, unexpected observations and repeated readings. Give each difference an action and owner. Record the file's origin and retain original references when investigating discrepancies. The local reviewer compares entered data; it does not physically inspect parcels or establish carrier acceptance. Confirm acceptance through the relevant operational record, keeping that evidence linked to the batch.

Prepare the next action and enquiry

If tracking stops progressing, identify the latest milestone supported by a record and who must complete the next one. A missing update does not establish loss. For recurring batch coordination, provide volume, destination mix, label origin, manifest format and handover windows. For a parcel already moving, gather its reference and latest event for a tracking enquiry. Closing an internal note preserves the team's decision; it does not change carrier events or automatically confirm a physical resolution. Assign the next contact, outstanding document and review date so the action can be followed up.

Keep references for each transport stage

Connect the order, parcels and references for each stage. If the operator or number changes, confirm its relationship to the previous reference and where the information came from. An isolated event does not establish loss or buyer receipt. Confirm the tracking access covered by the agreement.

One pallet becomes several orders

Consider a pallet arriving with goods for several buyers. Prepare a mapping between the inbound lot, received cartons and orders to be separated. When packaging changes, add the new parcel references and preserve the link to the original cartons. If one carton is missing, identify affected orders before deciding what to do with the others. Request an explicit decision on continuing preparation or waiting for review; retain who authorized it and which tasks the authorization covers.

A planned pickup still needs confirmation

In the pickup record, specify the exact location, release reference, contact confirming availability and person receiving the vehicle. Separate the expected arrival from authorization to load. Before arranging the next operator, confirm outstanding tasks and the version of the lot’s physical shipment data. If availability changes, update the record and notify whoever arranges pickup. Retain the earlier confirmation so the change can be explained without reconstructing the conversation from memory or treating the previous plan as current.

Close the handover with the discrepancy identified

Compare prepared parcels with those actually presented to the next operator. Record a discrepancy by physical parcel reference rather than only by total order count. Add the known status, available evidence and person clarifying the next step. For parcels that moved onward, retain the agreed handover record and link to subsequent tracking. Customer communication can then describe the stage of that buyer’s parcel while the discrepancy enquiry continues with the appropriate responsible party and its own documented question.
