Label, customs release and acceptance: three milestones

Which record to request

Keep order, parcel or batch reference, label, applicable customs release and carrier handover evidence. For an exception, include latest event time and the owner of the pending stage.

Record each handover

Connect the order reference to received parcels, final dimensions and the batch manifest. Record departure from China, import clearance and Iberian carrier handover separately. Keep the sender, recipient, date and document reference for each handover. If a label has no tracking events, check physical carrier acceptance before interpreting the case as a lost parcel.

A label without an acceptance event

When a label exists but acceptance is not yet shown, gather the order reference, package identifier and latest available physical record. Ask the party arranging handover whether there is evidence of receipt by the carrier, including date and reference. Do not replace that record with the label creation time. Note which stage needs confirmation and who is responsible for finding the document, so the next enquiry has a concrete starting point instead of repeating only the tracking number.

One batch becomes several parcels

If an arriving Iberian batch is split into final parcels, retain a mapping between the batch reference and every package identifier. Record how many were expected, how many were prepared and which have documented carrier handover. Confirmation for part of a batch does not automatically explain the remaining packages. For a discrepancy, identify the affected parcel and the last point where it was recorded. Keep the manifest and handover documents connected to the same operation and preserve links to the underlying orders.

An enquiry identifying the pending stage

Prepare an enquiry stating the order, parcel, latest event and time, available document and stage awaiting confirmation. For example, a clearance record may exist while handover to the next operator remains unconfirmed; request that specific record from the responsible party. Keep answers in the case sequence and mark when new evidence arrives. If a transport identifier changes, update the mapping without deleting the previous reference. This lets the review follow documented events for each package across the separate stages.
