Prepare one shipment specification
Record the pickup address, Portuguese destination postcode, readiness date and receiving windows. Describe the goods, packages or pallets, final dimensions and gross weight. State stackability, packaging and any special characteristics. Confirm loading and unloading equipment, vehicle access and the receiving contact. Separate continental Portugal from Madeira and the Azores where relevant. For goods arriving from China, identify where this quote starts and which earlier stages must be completed before collection. Mark estimated measurements for revision after packing, and check whether the receiver requires an appointment.
Compare the route, handling and charges
Ask the provider to define direct transport or groupage in the quote: vehicle use, departures, possible terminals, transfers and the final leg. Compare identical pickup and delivery, currency, validity and charges marked included, separate or unconfirmed. Review minimum fees, waiting, storage, appointments and unloading equipment. A transport figure alone cannot fairly be compared with a quote covering more work. Keep the original conditions and assign owners to confirm outstanding items, including receiving-window changes. The local comparison worksheet organizes entered amounts; it does not fetch rates or reserve capacity.
Resolve questions before authorizing transport
The word direct does not, by itself, establish a journey without stops or a guaranteed delivery date. Groupage needs an agreed receiving, handling and delivery plan; volume alone does not identify an option that is always cheaper. Before accepting, confirm availability, loading limits, delivery evidence, exception contacts and outstanding charges. For the entire China–Portugal journey, request separate origin, international transport, clearance and distribution stages. A road transport option to Portugal does not automatically describe the whole import. Confirm the included stages and required pickup authorization in writing.
Two prices for the same pallet
Imagine a pallet prepared in Spain for a consignee in Portugal. Send both providers the same sheet: final dimensions, weight, stackability, availability and unloading conditions. Identify whether each offer assumes a dedicated vehicle, shared space or intermediate handling. If a quote uses figures from before final packing, request an update before choosing. Keep answers alongside the original documents so the price can be compared against the actual load and route proposed, including any assumptions that still need confirmation.
Receiving arrangements need confirmation
Before collection, ask the consignee to confirm receiving hours, appointment arrangements and unloading equipment. Attach the answer to the address and contact used in the quote. If the receiver cannot accept the pallet as planned, describe the required change and request the relevant work and price. Record who authorizes any adjustment. A correct address alone does not confirm that delivery can proceed using the vehicle, packaging and equipment originally assumed. Give both transport alternatives the updated receiving information before comparing them.
The first shipment and later departures
If an offer relies on space available for one journey, identify the specific departure, capacity and confirmed collection and delivery conditions. For later replenishments, request a separate answer about possible planning. Do not copy the first shipment’s availability into a recurring schedule. Keep the offer for that journey and the arrangements discussed for later departures as distinct records. When the date or load changes, seek confirmation before relying on the same solution, including any handling or delivery requirements carried into the new enquiry.
