Connect each stage to its references and responsible party. Confirm decisions before approving work.

Start with the latest event

Check the correct reference and latest dated carrier event. Identify international transport, import formalities or local delivery. Ask the party handling that stage; a gap in updates does not establish that the parcel is lost.

Absence, address or recorded delivery

CTT Express guidance allows absence or incomplete-address issues to be managed on its website. For a delivered status without the parcel, it advises checking household members or neighbours, then contacting customer service. Use the carrier’s current channel.

Send a summary and keep the response

Provide reference, latest event, date, brief description and requested action. For visible damage, keep photos and packaging while seeking instructions. Avoid posting addresses or tracking codes publicly. Confirm deadlines, paperwork and compensation under the contracted service terms.

The buyer reports no delivery

For example, a buyer reports that an order has not arrived, but the shop holds two parcel references. Check each reference and relate the latest event to the items in that parcel. Record the buyer’s account separately from the status shown by the operator. Where delivery is recorded, follow the checks and contact instructions in the carrier’s channel. Avoid concluding that the whole order is lost from the situation of a single parcel or an unverified report.

A message that allows the enquiry to continue

Prepare an enquiry containing the order, parcel, latest event, consultation date and problem description. Add only the information needed for the requested action: checking an address, clarifying a recorded delivery or identifying the next step. State what remains unknown. Keep photographs and documents in the agreed channel, linked to the case reference. A new contact should be able to understand the request without asking for the entire history again or receiving unnecessary personal information about the buyer.

An internal follow-up does not confirm redelivery

When a response arrives, retain the proposed action, stated conditions and person who must confirm execution. If the shop sets a date to review the case again, describe it as internal follow-up. Communicate redelivery or an address change only once that option is confirmed for the shipment. Keep customer support separate from any transport claim. Close each part with its own documented outcome rather than treating one response as evidence that both processes are complete.
