Actual weight, volume and goods
50–60 kg is an illustrative shipment size, not a rate or universal threshold. Record each package’s dimensions and gross weight. Ask for chargeable weight and the formula used. Declare batteries, liquids or other characteristics affecting acceptance.
Compare the same journey
Request parcel, air or sea options where suitable for the goods. Compare identical pickup and final addresses, departure schedules, expected milestones and included services. For LCL, review origin and destination charges and minimum fees; low freight does not establish a lower total.
Prepare a complete request
Include goods, commercial value, packages, dimensions, weight, origin, destination postcode and availability. Confirm the trade rule, import responsibility, insurance and claims process. Distinguish estimated transit from a committed delivery date.
One total, several cases
Imagine a batch weighing roughly 55 kg, split between cases of different sizes. Prepare one row per case type showing quantity, external dimensions and gross weight. Identify whether figures are estimates or measurements taken after packing. If a case changes, send the revised sheet to every provider quoting. This keeps the goods consistent across comparisons and lets you ask how each offer calculates chargeable weight, using the actual packing rather than the headline total.
Turn exclusions into assigned tasks
One offer may end at a terminal while another includes delivery to the stated postcode. Mark each stage as included, excluded or awaiting confirmation: collection, transport, arrival handling, clearance and delivery. For every exclusion, record who arranges it and what information is missing for a price. If a sea option quotes minimum or local charges, ask for them to be identified in the offer. Bring totals together only after resolving the same questions for each alternative.
Confirm the version before collection
Before authorizing collection, connect the accepted quote to the final packing sheet version. Record the address, availability, contact person and outstanding documents. Confirm separately when an estimated transit period starts and any delivery commitment written into the offer. If the supplier adds a case or changes the ready date, request a review before proceeding. Retain the confirmation and shipment reference so later cost or planning differences can be traced to the information approved for that collection.
